What are you going to do?
The Administrative Assistant/Receptionist position is responsible for providing skilled administrative and front-desk support to ensure the smooth daily operation of the office. This role serves as the first point of contact by greeting and assisting all visitors, assessing visitor needs, and managing visitor check-ins and check-outs. Responsibilities include answering and directing incoming phone calls, filing and maintaining documents, placing office-related orders, and supporting the Office Manager with events and office initiatives. The position also provides administrative support to department managers by assisting with various projects as needed.

Greets and welcomes visitors, clients, and employees in a warm and professional manner, serving as the first point of contact for the Company
Assesses visitor needs and ensures proper check‑in/check‑out procedures are followed
Answers incoming phone calls, screens inquiries, and directs calls appropriately with sound judgment
Prepares and maintains conference rooms for meetings, including room setup, coordination, and troubleshooting as needed
Updates and maintains Welcome TV and other front‑of‑house communications
Prepares and coordinates customer welcome packets and gifts, ensuring a high‑quality visitor experience
Orders, tracks, and maintains inventory of office and kitchen supplies; proactively monitors stock levels and coordinates with vendors
Performs a wide range of office administrative responsibilities, including report generation, data entry, document filing, and managing incoming and outgoing mail and deliveries
Collaborates with management on timekeeping entries and corrections, exercising attention to detail and confidentiality
Assists in planning and executing company events and employee engagement activities, including logistics and coordination
Supports office management with general office operations, organization, and continuous improvement of administrative processes
Provides administrative and project support to department managers, coordinating tasks, schedules, and follow‑ups as needed
Assists with domestic and international travel arrangements, including bookings and itinerary coordination
Uses discretion when handling sensitive or confidential information
Performs other duties as assigned, demonstrating flexibility and a proactive approach to supporting business needs
